Choosing the ideal venue for a meeting, incentive day, conference or launch event takes careful consideration. Si looks at pasty giant Ginsters' latest efforts.
While accessibility and proximity to good transport links are important, the ambience of a venue, which is in context with the tone of the day itself, along with availability of accommodation and the provision of impeccable service, should also feature highly on any organiser’s agenda.
Besides looking for an activity that would highlight the speediness of their new Heat + Eat product range in a unique and captivating setting, the organisers at Ginsters were also looking for a venue in a central location with easy transport routes from London and other major UK cities. Lets Races’ motorsport themed venue in Horley Surrey, just a five minute drive from Gatwick Airport, was therefore selected as the site.
No matter what the size of a meeting, conference or event, a good venue should deliver the same level of precision and planning to any important occasion. Lets Races’ events coordinators are on hand throughout the event to ensure that Ginsters product launch with both the media and key stakeholders, ran seamlessly from beginning to end.
Starting at 9am, the Ginsters product launch event featured a full day itinerary commencing with a conference style meeting hosted in the main reception. With a sleek, contemporary design - featuring a variety of car fanatic memorabilia and the added benefit of an abundance of natural daylight - the main reception at Lets Race is the biggest conference space available at the venue. In contrast their smaller, more intimate, meeting room can hold up to 30 delegates (depending on the layout required) and is a popular choice for those looking to host private meetings or presentations.
Lets Race offers a variety of catering options for corporate events but in order to ensure that the focus wasn’t taken away from Ginsters new Heat + Eat product range, the organisers needed a simple yet effective menu to keep delegate’s energy levels fuelled. A popular and classic hot and cold canapé selection, featuring a selection of wraps, sandwiches, salads and sushi, samosas, spring rolls, pizzas, and chicken satay was therefore selected. A fruit platter with crème fraiche and a selection of cakes was served as dessert accompanied by both fruit and green teas or soft drinks.
All product launches benefit from an element of creativity but after time they can become repetitive and may lose audience engagement. With this in mind, the organisers at Ginsters opted for a venue that could not only reflect their product and appeal to their target audience but provided an abundance of entertainment for guests. Attendees at the Heat + Eat product launch were invited to drive the F1 full motion race simulators at Lets Race as well as test their reaction times on the centre’s interactive Batak wall and pit stop challenge area.
Following the event Jo Hartop, Head of Corporate & Trade Communications for Ginsters, said: “A big thank you to the team at Lets Race for hosting a fantastic launch event for Ginsters. The venue worked really well for our needs, and it was great fun racing the afternoon away in the F1 simulators.”
